Start with identifiers, not adjectives
Use the product name and the closest content or SKU reference. Words such as “high quality” do not tell a sourcing desk which configuration your team intends to review.

Add the commercial shape
Quantity, destination and timing change the practical route. A pilot request and a recurring bulk program should not enter the same quotation assumptions.

Name the evidence question
Ask for the records your reviewer actually needs. A sample COA can preview format, while a released-lot record is the relevant source for lot conclusions.
